Grosvenor Media Limited are committed to protecting and respecting your privacy. This policy sets out the basis on which we process any personal data that we collect from you, or that is provided by you.

For the purpose of the Data Protection Act 1998 (the Act), the data controller is Grosvenor Media Ltd, Suite One, Grosvenor House, Agecroft Commerce Park, Pendlebury, Manchester M27 8UW.

Information we collect

We collect information from you at different times depending on which services you make use of.

Personal Details

These details allow us to uniquely identify you in our systems and to contact you directly.

  • Usernames and passwords
  • E-mail address(es)
  • Full name and company/organisation name where applicable
  • Full postal address including postal code and country
  • Telephone numbers including mobile phone if supplied
  • Photograph or avatar if supplied

Payment Details

We accept payment by cheque, bank transfer, PayPal or credit/debit card. Credit card payments are processed through PayPal. For accounting purposes, we retain the following data:

  • Payment type
  • Future payment preference
  • Transaction result (e.g. successful or failed)
  • Transaction reference number provided by PayPal/card processor
  • Payment amount

Credit or debit card numbers are not stored on our systems after payment has been processed. We do not store financial details.

For PayPal payments, payment data will be stored by them in accordance with their policies. See PayPal's Privacy Policy.

Metrics

For statistical purposes and fraud prevention, we store the following information as it is provided during the course of browsing our website:

  • Browser type and version
  • IP address

Cookies

We may obtain information about your usage of our website by using a cookie file which is stored on your computer. This allows us to store your preferences for customisation and to recognise you when you return to our site. You may amend your browser settings to reject cookies, however this may make parts of our site inoperable.

Internet Hosting

If we provide your website and/or email hosting, this will mean that additional data will be kept by us or a trusted third-party supplier. All e-mails sent and received are logged as part of the standard operation of the mail server. The recipient and sender details, timestamp and message subject are logged for troubleshooting purposes only. The volume of data usage may also be recorded for billing purposes.

Communication

All written and electronic communications are stored for future reference. Telephone calls may be recorded for training and reference purposes.

Mailing List

We store information about subscribers and customers in order to send informational and promotional emails. You can unsubscribe at any time by following the link provided at the bottom of each mail.

Data Storage

All data that we collect from you, with the exceptions noted below, is stored within the United Kingdom which is within the European Economic Area ("EEA") and is therefore subject to the protections offered under UK law. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

All information you provide to us is stored on our servers. Data submitted as part of your customer account, as detailed above, may be submitted under a connection secured by industry standard SSL. You can tell where this is the case by the padlock symbol in your browser.

Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Data Retention

Balancing the needs of VAT regulations, the Limitation Act of 1980 and the Home Office Voluntary Code of Practice on Data Retention, our data retention policy is as follows:

Details are kept for all active customers. Sales data required by VAT regulations and acts is kept for at least 6 years. Other data associated with inactive customers may be removed after 12 months of inactivity, or upon request.

Information may be retained beyond the period specified in one or more of the following circumstances: Legal proceedings or a regulatory or similar investigation or obligation to produce information are known to be likely, threatened or actual. A crime is suspected or detected. Information is relevant to a company in liquidation or receivership, where a debt is due to Grosvenor Media.

Disclosure of Your Information

We may disclose your personal information to third parties:

  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  • If Grosvenor Media or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or to protect the rights, property, or safety of ourselves, our customers, or others.

Access to Information

The Data Protection Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Data Protection Act.
